Request for Quotation (RFQ): Event Organiser for the AI Outreach & Adoption Programmes 2026
Introduction:
The National AI Office (NAIO), under MyDIGITAL Corporation, is seeking quotations from experienced and qualified Event Organiser (EOs) to provide end-to-end event management services for the implementation of the AI Outreach & Adoption Programmes 2026.
This initiative forms part of NAIO’s Strategic Communications – Advocacy & Enculturation efforts under the AI Nation 2030 agenda to strengthen AI literacy, promote responsible AI adoption and increase public confidence in AI technologies across different segments of society.
While both programmes form part of NAIO’s advocacy and enculturation efforts, they serve different objectives. Klinik AI: Bantu & Guna focuses on improving AI awareness and accessibility through community engagement and advisory sessions, while AI Niaga Boost focuses on equipping SMEs with practical knowledge and hands-on experience to accelerate AI adoption in business operations.
The appointed EO will be responsible for the planning, coordination, and implementation of four (4) programme sessions comprising:
- Two (2) sessions of Klinik AI: Bantu & Guna, a community-focused AI outreach and advisory programme aimed at improving AI awareness, accessibility and understanding among underserved communities, grassroots participants and micro businesses; and
- Two (2) sessions of AI Niaga Boost, a capability-building programme focused on practical AI adoption among SMEs through structured workshops and hands-on business application of AI tools.
The scope of work includes end-to-end event management, venue coordination, technical and audio-visual support, branding and creative services, participant registration, programme logistics, documentation and reporting, as well as all related operational requirements necessary for the successful delivery of the programmes.
The successful implementation of these programmes is expected to enhance AI literacy, encourage practical AI adoption among communities and businesses, support the development of an inclusive AI ecosystem, and contribute towards the successful implementation of Malaysia’s AI Nation 2030.
Summary Scope of Work:
The appointed EO shall be responsible for delivering end-to-end event management services for two (2) sessions of Klinik AI: Bantu & Guna and two (2) sessions of AI Niaga Boost.
The scope of work shall include, but is not limited to, the following:
- Project Management & Overall Coordination
- Serve as the main implementing agency for all operational aspects of the programmes.
- Develop a comprehensive implementation plan, project timeline and risk mitigation plan.
- Coordinate closely with NAIO throughout the planning and implementation stages.
- Conduct regular progress meetings and status updates.
- Programme Planning & Coordination
- Develop detailed programme flow and agenda.
- Coordinate speakers, facilitators and programme partners.
- Manage programme registration and participant engagement.
- Prepare contingency plans to address operational and technical issues.
- Venue Management & Logistics
- Source and coordinate suitable venues based on programme requirements.
- Manage venue layout, registration areas, workshop spaces and consultation booths.
- Coordinate event setup, dismantling and venue reinstatement.
- Technical Production & Audio-Visual (AV) Support
- Provide complete audio-visual equipment and technical support.
- Manage LED screens, projectors, sound systems, lighting and internet connectivity where required.
- Provide on-site technical personnel throughout programme implementation.
- Event branding & Creative Design
- Develop programme branding and creative materials in accordance with NAIO branding guidelines.
- Design, produce and install event collaterals including backdrops, buntings, directional signage, registration counters, participant kits and other event materials.
- Ensure all creative materials are reviewed and approved by NAIO prior to production.

- Klinik AI: Bantu & Guna
- Coordinate AI consultation and advisory stations.
- Facilitate introductory AI demonstrations and awareness activities.
- Support community engagement activities focusing on AI awareness and AI safety.
- AI Niaga Boost
- Coordinate SME-focused workshops and hands-on training sessions.
- Support practical AI demonstrations and business use case presentations.
- Facilitate activities promoting AI adoption to improve business productivity and operational efficiency.
- Klinik AI: Bantu & Guna
- Catering & Hospitality
- Coordinate food and beverage arrangements for participants, speakers, facilitators and organising committee members where applicable.
- Photography, Videography & Post-Event Reporting
- Provide photography and videography coverage.
- Produce post-event reports, attendance records, participant feedback and programme highlights.
- Submit all event documentation and digital assets upon programme completion.
Eligibility Criteria (Qualified vendors should have):
- Have at least three (3) years of experience in organising conferences, workshops, roadshows or government/community engagement programmes.
- Demonstrate experience in providing integrated event management services, including logistics coordination and audio-visual support.
- Possess adequate manpower and project management capabilities to manage multiple programme sessions across different locations.
- Have a proven track record in handling government agencies or public sector engagements (preferred).
Proposal Submission:
- Interested organisations are invited to register their interest by completing the registration format at link [https://forms.gle/XsC6pnuVoGKzNSjF8] and submit the Non-Disclosure Agreement (NDA) to admin@mydigital.gov.my with email subject: NDA <company name> <AI Outreach & Adoption 2026>
- Only organisations that have successfully registered their interest and submitted the NDA by the stipulated deadline will receive the RFQ documents and be eligible to participate in the quotation process.
Deadlines:
- Registration of interest and submission of the NDA is by 12.00 noon on 9 July 2026.
- Proposals must be submitted by 12.00 noon on 14 July 2026.

MyDIGITAL Corporation reserves the right to reject any or all registrations or proposals and to negotiate with any service provider. The issuance of this Procurement Notice does not constitute any obligation on the part of MyDIGITAL Corporation to award the contract.
