Introduction:

MyDIGITAL Corporation is seeking proposals from experienced and qualified organisations to serve as the Event Organiser for WEF- ASEAN Digital Summit 2025.

Summary Scope of Work: 

The Event Organiser will be responsible for a comprehensive range of services including but not limited to:

  1. Concept Development
  2. Venue Management
  3. Speaker/Invitees Management
  4. Creative, PR & Branding Services
  5. Protocol and VIP Management
  6. Logistic and Onsite Management
  7. Post Event Deliverables

Eligibility Criteria: Qualified Organisations Should Have:

  1. Experience & Track Record
    1. Proven experience in organising large-scale technology, AI, or innovation summits.
    2. Strong track record in managing high-profile events with government officials, industry leaders, and global stakeholders.

  2. Industry Knowledge & Network
    1. In-depth understanding of AI, digital transformation, and emerging technologies.
    2. Established network with AI thought leaders, policymakers, tech investors, and industry players.
    3. Capability to secure top-tier speakers, panelists, and moderators from leading AI institutions and companies.

  3. Financial & Resource Capability
    1. Strong financial standing and ability to manage a multi-million-dollar event budget.
    2. Access to a skilled team of event professionals, including project managers, marketing specialists, and technical support teams.
    3. Experience in securing sponsorships and partnerships from corporate and government stakeholders.

  4. Operational & Logistical Competence
    1. Expertise in venue selection, stage production, branding, and technical setup for hybrid or in-person events.
    2. Ability to manage VIP protocols, security, and hospitality for high-level government and corporate attendees.
    3. Proven success in handling registration systems, ticketing, and event technology platforms.

  5. Marketing & PR Strategy
    1. Strong marketing and communication strategy to drive audience engagement.
    2. Experience in handling digital marketing, media relations, and public relations.
    3. Ability to create high-impact content, promotional campaigns, and press coverage.

  6. Compliance & Regional Alignment
    1. Registered as a legal entity with proper business licenses and event management accreditation.
    2. Strong understanding of ASEAN markets, cultures, and business ecosystems.

Proposal Submission:

  1. Interested organisations are invited to submit a comprehensive proposal detailing their approach to project execution, team structure, timeline, deliverables, and financials.

  3. Proposals must follow the instructions outlined in the RFP documents and include qualifications, relevant experience, a technical project plan, and a detailed budget breakdown.

Deadlines:

Registration of interest and submission of the NDA is by 11:59pm on 4 March 2025.
