Request for Quotation (RFQ) for E-Signature and Internal Approval Workflow System
Introduction:
MyDIGITAL Corporation invites qualified and experienced vendors to submit quotations for an integrated digital workflow and e-signature solution with the following key capabilities:
- End-to-end digital internal approval workflows.
- Coverage of multiple operational processes, including:
- administrative approvals
- procurement requests
- travel management
- financial authorisations
- Strong governance and compliance features.
- Comprehensive audit trails for all actions.
- Secure document handling and storage.
- Minimum support for 60 active users on annual basis.
- A scalable system that supports future expansion and additional features such as dashboards and analytics.
This procurement exercise is part of the Corporation’s digitalisation roadmap to ensure efficient, transparent, and well-governed internal operations.
Eligibility Criteria
Interested vendors must meet the following minimum requirements:
- Registered Business Entity – Must be legally registered in Malaysia with valid business documentation.
- Relevant Experience – Demonstrated experience in implementing e-signature systems, workflow automation platforms, or enterprise digital approval solutions. Portfolio or references of similar projects within government agencies, GLCs, or regulated industries is an added advantage.
- Technical Capability – Ability to support multi-step approval workflows, role-based access control, audit trails, and digital form development. Capability to deploy a system for at least 60 active users and scale as needed.
- Support & Training Capacity – Availability of post-implementation support, troubleshooting capabilities, and training for administrators and end users.
- Regulatory Compliance – Must adhere with MyDIGITAL Corporation’s governance, security, and confidentiality requirements.
